Danfoss VFD Buying Checklist: 7 Steps to Verify Before You Buy

This checklist is for anyone about to buy a Danfoss VFD—engineers, maintenance leads, and the unlucky buyer who got elected to handle the purchase. I review roughly 200 drive and motor orders a year at our facility, and this is the exact process I run before a single unit gets approved for install.

When I first started this role, I assumed a Danfoss logo on the box meant a genuine Danfoss product. Three years and one counterfeit batch later, I don't assume anything. Here are the 7 things I check on every order. Step 4 is the one most people skip.

Step 1: Match the Model Code to Your AC Motor's Nameplate

Before you even look at distributors, write down what your AC induction motor actually requires. I can't count how many orders I've seen where the drive was selected on horsepower alone. That's exactly how you end up with an undersized unit.

For an AC induction motor, the numbers that matter are:

  • Full-load amps (FLA)—not just HP or kW
  • Supply voltage and phase
  • Frequency rating (50 Hz, 60 Hz, and the speed range you need)
  • Service factor and duty cycle

The drive's continuous output current has to exceed the motor's FLA. "Close enough" is not a specification.

Step 2: Confirm Which Danfoss VFD Controller You're Actually Getting

"Danfoss VFD controller" is not a product name. That's the first thing I flag when I see a listing. Danfoss makes several drive families for different jobs: the VLT FC-302 for constant-torque and severe-duty applications, the VLT FC-101 for fan and pump duty, and the VLT Micro Drive FC-51 for compact machines.

If a listing says only "Danfoss VFD controller"—no series, no model code, no power rating—that's a red flag. It usually means the seller isn't sure what they're offering, and that uncertainty becomes your problem after payment. Ask for the full type code, something like FC-302P185T5E20H2X. No type code. No sale.

Step 3: Verify the Load Type

AC induction motor applications split into two categories. A conveyor, extruder, or positive-displacement pump is a constant-torque load. Fans and centrifugal pumps are variable-torque loads. They need different drive sizing—and often a different drive series.

Put a variable-torque drive on a constant-torque load, and it will overheat. Not a matter of if. It's a matter of when.

In Q1 2024, a vendor's quote recommended a variable-torque VLT FC-101 for a 15-kW induction motor driving a heavy conveyor. Would the motor run? Yes. Would it last? That's the wrong question. The right question is why the quote ignored the application type. We rejected it, and the corrected quote came back 18% higher with an FC-302. That 18% is the real price of a conveyor drive.

Step 4: Ask "What's NOT Included?"—Before You Ask the Price

This is the step most buyers skip. I've learned to ask "what's not included" before "what's the price." Because the cheapest quote is rarely the cheapest quote. It's the quote with the most items left out.

In 2022, we accepted a bid on 40 Danfoss units because the price beat everyone else. The "competitive" price ignored three things the other quotes included: the local control panel, the RFI filter, and brake resistors. When we added them back, the total was 22% higher than the next bidder. The vendor had been upfront when we asked—which made it worse, honestly. They knew exactly which costs they'd hidden.

Before signing anything, get answers to this list in writing:

  • Is the local control panel (LCP/display) included?
  • Is the RFI filter included, and does it match your EMC environment?

  • Is technical support during commissioning included, or billed hourly?
The distributor who lists all fees upfront—even when their total looks higher—usually costs less in the end.

Step 5: Demand the Compliance Documentation

Every genuine Danfoss drive ships with a declaration of conformity and a serial number traceable to the factory. According to Danfoss's own design guides (available at danfoss.com), a VFD's CE compliance depends on installation with the specified filters and shielded motor cables. The certificate on paper means nothing if the distributor sends the wrong filter class.

What I check before payment:

  • Declaration of conformity matches the exact model code
  • UL/cUL marking, if the unit is bound for North America
  • Factory test certificate, if your QA process requires it
  • Serial numbers on the label match the box and the packing slip

In Q4 2023, we rejected a batch of 40 units because the labels didn't match the serial numbers in the seller's manifest. The vendor called it a paperwork error. The units had also shipped from a third country that didn't match the manifest's history. We never found out what was true, because we refused the delivery. That's what documentation is for.

Step 6: Inspect the Physical Unit Before It Hits Your Panel

Here's where genuine parts get separated from lookalikes. From the outside, a genuine FC-302 and a re-labelled unit look identical. The reality is that internal components—the DC-link capacitors, the IGBT modules, the conformal coating on the PCB—are exactly where a counterfeiter cuts corners.

I've seen units with:

  • Label typography that's slightly off: wrong spacing, wrong font weight
  • Rust on the heat sink despite a sealed box
  • Firmware versions Danfoss never released for that series
  • Terminal covers re-secured with the wrong screws—evidence the unit was opened

I don't enjoy being the person who inspects a label with a magnifying glass. But in 2021, that habit caught a batch of 15 units that turned out to be re-labelled lower-voltage drives. No facility wants to explain how a "Danfoss" drive started a fire.

Step 7: Get the Warranty Terms in Writing—Then Test Them

A Danfoss VFD controller is only as good as the distributor backing it. Ask these questions before you commit, and confirm the answers are in the quotation:

  • Who's the warranty contact: Danfoss or the distributor?
  • Who decides whether a failure is a defect or operator error?
  • What's the turnaround for an advance replacement?
  • Who pays the freight for a warranty return?

These aren't hypotheticals. A drive that arrives DOA is a $1,000 problem. A drive that dies after 90 days—after your electrician has wired the panel and the line is running—is a $3,000 problem including labor. The distributor who hesitates on the advance-replacement question is the distributor who will hesitate after the failure.

Red Flags and Common Mistakes

Gray-market pricing. The upside of buying from an unauthorized source is usually 20–40% below authorized channels (based on quotes we reviewed in Q3 2024; verify current pricing). The risk is the full cost of installation, downtime, and liability. I've weighed that trade-off for our facility, and the expected value only works if a unit failure costs nothing. It never does.

Orphaned product lines. Here's a pattern I watch closely: a product line stops shipping, and the installed base is left with no factory support, no spare parts, and no replacement path. Now every incoming unit gets photographed before we sign the carrier's invoice. It's 10 minutes that saves weeks.

The Bottom Line

This checklist isn't about making buying harder. It's about making the conversation with your distributor transparent from the start. The right distributor will answer every question on this list without hesitation, because they've already thought about these issues themselves.

The wrong distributor will still sell you a Danfoss VFD. You just won't know what's missing until the motor won't start.
